Better Reno (betterreno.com.au, app.betterreno.com.au) is quoting and job software for Australian builders. This page says what Better Reno keeps, where it is kept, who can see it, and what Better Reno does with Google Drive. We handle personal information under the Australian Privacy Principles (Privacy Act 1988).
Who this covers
- Builders and their teams who sign in to Better Reno (“you”).
- Their clients, suppliers and trades, whose details a builder enters in Better Reno, and who open the links a builder sends them (a quote, selections, room drawings).
For the details a builder enters about their own clients, the builder decides what goes in and what it is used for; Better Reno keeps it for them and uses it only to run Better Reno for that builder.
What Better Reno keeps
- Your login: your name, email, a scrambled form of your password (never the password itself), your authenticator set-up, passkeys and recovery codes (scrambled).
- Your company’s work: price list, quotes, jobs, schedules, clients’ and suppliers’ names and contact details, bills, invoices, notes and history of who changed what.
- Sign-in records: when someone signed in, from which internet address and browser, kept for 12 months to keep accounts safe. Old sessions are removed 30 days after they end.
- Files: while no Google Drive is connected, small files (up to 3 MB) are kept in Better Reno. Once your Drive is connected, files go there (below).
- Cookies: only what signing in needs (your session, and a computer you chose to trust). No advertising or tracking cookies, and no outside analytics or advertising scripts.
Where it is kept
Better Reno and its database run on DigitalOcean’s servers in Sydney, Australia, with daily backups kept for 7 days. Emails Better Reno sends for you (a quote to your client, for example) go out from [email protected] through Hostinger’s email service. Keys for outside services are kept sealed (encrypted) and never shown on a page.
Who can see it
- Your company: the people in your team, each limited by the role you give them (for example, a carpenter does not see costs).
- No other company: each company’s data is kept apart from every other’s, and the database itself refuses to show one company another’s rows.
- Your clients and suppliers see only what you send them (a quote, an order, a selections or drawings link).
- Better Reno’s owner sees how many records a company has (counts only), not their contents. Looking inside a company to help with a problem will only be possible when that company switches support access on, for a set time, and everything done is recorded in its history.
- We do not sell personal information, and we do not use it for advertising.
Google Drive
When you connect Google Drive (Settings → File storage), Better Reno asks Google only for the drive.file permission: “See, edit, create and delete only the specific Google Drive files you use with this app”. With it Better Reno can see and change only the folders and files it makes in your Drive (its own folder, “Better Reno”, with your clients’ and jobs’ folders inside). It cannot see, read or change anything else in your Drive.
- What it does: makes the Better Reno folder and its folders, puts in the files you add in Better Reno (plans, photos, bills, supplier documents), renames folders when you rename a client or job, opens and downloads those files for you, and moves a file to the bin when you remove it in Better Reno.
- What it keeps: your Google account’s email address (to show which Drive is connected), the ids and names of the files and folders it made, and a sealed (encrypted) key that lets it reach your Drive. Your files themselves stay in your Drive.
- Disconnecting: Settings → File storage → Disconnect hands the key back to Google and forgets it. Your files stay in your Drive. You can also remove Better Reno’s access at any time in your Google account (Security → Third-party connections).
- Better Reno does not use your Google data for advertising, does not sell it, does not use it to train artificial intelligence, and does not let anyone read it except to run Better Reno for you, to keep it secure, or when the law requires it.
Better Reno’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Keeping it safe
Signing in needs a password and a second step (a code from an authenticator app, a passkey, or your phone). Connections are encrypted (https). Every change to company data is checked against the person’s role on the server. If something ever went wrong with your data, we would tell you and, where the law requires, the Office of the Australian Information Commissioner.
Your choices
- See and download: Settings → Import and export → Download all your data.
- Correct: change your details in Settings → Your profile, and your company’s anywhere in Better Reno.
- Close your account and delete its data: email us (below). We send you a copy first if you want one.
- A client or supplier whose details a builder entered: ask that builder first; you can also email us.
Contact and complaints
Email [email protected] about privacy, or to make a complaint; we answer within 30 days. If you are not happy with our answer, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
Better Reno is not for anyone under 18. If this policy changes, the date at the top changes and signed-in users are told of any important change.
